Stafford Kids Club: Terms and Conditions             

Application for a place at Before and After School Club

Registration forms must be completed and returned prior to your child starting.  Alteration or cancellation of booked sessions requires 4 weeks notice in writing.  If insufficient notice is given then full fees will apply.   Requests to change sessions will be subject to a change of contract fee of £10 (this also includes all funded places).  If additional sessions are required, these will be arranged subject to availability and require payment at the time of booking.  A one off administration fee of £10 will be required at the time of registration.

Stafford Kids Club cannot be held liable for the withdrawal of a place due to third party action; this will include closure due to strike, crime, flooding, earthquake, storm, power failure or anything related to school closures.

Deposit

In order to secure a place at Kids Club, a deposit of £25 is required.  If Kids Club is unable to offer the agreed place, the deposit will be returned in full.  This sum is thereafter discounted from your final month’s fees, provided adequate notice is given and payments are up to date.

Fees for Before and After School Club

Fees are required monthly, in advance by the first day of every month (1st).  If this day falls on a non-banking day i.e., Saturday, Sunday or Bank Holiday, fees will be due the next working day.  Invoices will be issued at least one week prior to the billing period.  Your bill will be e mailed to you, unless you speak to a member of staff and request a paper copy.

Late payments will incur a Late Payment Charge of £5 per day until the bill is settled (this includes Saturdays and Sundays).  If you have not paid by the required date, your child will not be able to attend their sessions as from the following week until payment is made in full, together with the late payment charge.  Stafford Kids Club reserves the right to review fees when necessary.

Failure by Stafford Kids Club to make a written or e mailed request for payment of fees does not constitute an excuse or reason for late or non-payment.  There is no reduction for sickness or non attendance at the Club for whatever reason and sessions cannot be transferred to other days in exchange for days not taken.

For funded places, other than NEF (e.g. care to learn or College funding) it will be the parent’s responsibility to ensure all fees are paid in full (e.g. if funding is based on parent’s attendance on a course).

Payment Methods

Payments can be made via BACS (online banking payment), Childcare Vouchers or cash.  We do not accept cheques, direct debits or payments over the phone.  We do not have “chip and pin”.  Cash payments will receive a printed/e mailed receipt.  All other payments will receive a printed/e mailed receipt once staff have checked that the payment has been received.  In the event of any problems or difficulties with paying your invoices, please speak to a member of staff or e mail – castlechurch@staffordkidsclub.co.uk

Holiday

Stafford Kids Club is not open on Bank Holidays and inset days.  If you take holidays during term time your fees still need to be paid, as this holds your place.  You cannot under any circumstances cancel your place for this period of time and then re-apply for your place; this also applies to any school trips or residential camps.

Alterations/Cancellations

Altered or cancelled sessions require four weeks written notice.  Full fees will apply if insufficient notice is given.  Requests to change sessions will be subject to a change of contract fee of £10.  If additional sessions are required, these will be arranged, subject to availability, and require payment at the time of booking.

Absent Children

It is parent’s responsibility to inform Stafford Kids Club of any non-attendance of their child by 2.30 p.m.   The word of the child will not be accepted. There will be a charge of £1 for each phone call made to ascertain the location of a child who is booked into Kids Club and has not attended. Please initially notify After School Club if your child will be attending a School club (e.g. football, board games, choir).

Sickness

Parents are requested to inform Stafford Kids Club if children have been ill during the forty-eight hours before their session starts.  We will not admit children if they have an infectious disease including sickness and diarrhoea (please see Illness and Infection Policy).  Stafford Kids Club has a realistic attitude towards the needs of working parents but reserves the right to contact parents if their child becomes ill whilst in their care.  Stafford Kids Club must be informed of any illness a child has if it may prove dangerous to other children or staff.

In cases where medication is required, staff will administer medicines, providing their parents have completed a medication form.  Qualified Kids Club staff will, when necessary, administer basic first aid treatment to children following accidents.  Depending on the nature of the injury, parents will be informed of the incident, either immediately or upon collection.  If further medical treatment is required, the parent will be contacted immediately and the Manager will take the appropriate action (please see the Accident Policy).

Parents are required to sign an emergency medical treatment form prior to their child attending the Club, in order to ensure the setting has the correct information.  This also grants us permission to take your child to Hospital in cases of emergency.

Collection of Children

Children may only be collected by those persons you have given authorisation to on your child’s Admission forms.  If children are not collected within their booked session time, then an additional charge will be made:  after 5.30 p.m., £3.50 per child.  If a phone call has been made before 5.30 p.m. to inform us, the charge will be £2.00 (difference between the two sessions).   After 6 p.m., £15 per 15 minutes or part thereof.  Our clocks are checked regularly with GMT.  If parents are consistently late, we may terminate your child’s place.

There will be a charge of £1 for each phone call made to ascertain the location of a parent who has not collected their child or to confirm collection by an unauthorised person, of whom the Club has not received prior notification.   Parents will need to inform Kids Club if anyone who has not been introduced to our staff, or is not listed as an authorised person on their Admissions form, will be collecting their child and a pre arranged password will be required.

Property and belongings

Stafford Kids Club has a range of toys and equipment suitable for all children.  It is therefore not necessary or advisable for children to bring toys from home.  We are not responsible for any loss or damage to items or clothes.

Food

We provide a drink and snack including some fruit, during afternoon sessions.  If you feel that your child needs more than this you may send one snack item only.  Please can we ask you not to send sweets.  Breakfast is available from 7.30 a.m. – 8.15 a.m. at an additional cost, please see a member of staff with regards to the menu.

Behaviour

Children displaying inappropriate behaviour will be excluded from the Club (see Behaviour Policy).  Verbal or physical abuse from children or adults, aimed at staff members, will not be tolerated and may result in the child’s place being terminated.

Insurance

Stafford Kids Club Limited has employers and public liability cover.

Insurance cover is only provided between the hours of 7.30 a.m. and 6.00 p.m.   We accept no responsibility for children whilst in their parents care on our premises, i.e. prior to arrival or after pick up.

Medicine

In cases where medication is required, staff will administer medicines, providing parents have completed a medication form.  Parents are requested to inform Stafford Kids Club of any food, medicine, activity or any other circumstances that may cause the child to have an allergic reaction/allergy.  Parents must provide details, in writing, of the severity of the reaction/allergy and must continue to inform Stafford Kids Club of any changes/progress to the condition, in writing, when they become aware.

Parents are required to sign an Emergency Medical Treatment form prior to their child attending Stafford Kids Club, in order to ensure that we have the correct information.  This also grants Stafford Kids Club permission to take your child to Hospital in cases of emergency.

Photographs

We may take photographs of children to use in staff training, press releases, brochures, our Newsletters, on our website or Face book page.  If you do not wish for your child to be photographed, please put this in writing and ensure that you have completed the consent part of the Admissions form.

Stafford Kids Club reserves the right to amend the Terms and Conditions without prior notice.

Parents are requested to inform Stafford Kids Club immediately of any changes to all information kept by us.
